Shop guide · ChairChime team
Which answering option fits your barbershop?
Choose around the calls your shop receives. Taking a message, answering a price question, and confirming an appointment are different jobs. An answering service may do one well without supporting the others.
Compare the work, not just the monthly price
| Option | Useful when | Check before choosing |
|---|---|---|
| Voicemail and callbacks | You can return a manageable number of calls. | Who calls back, when, and how unfinished requests are tracked. |
| Human answering service | Callers need conversation and exceptions need judgment. | Coverage hours, shop-specific training, booking access, and escalation rules. |
| AI receptionist | Many calls follow clear service, availability, or callback rules. | Real call quality, scheduling behavior, uncertainty handling, and failure fallback. |
Ask exactly what “booking” means
Does the service record a request for you to approve, or create a confirmed appointment? Can it see the schedule you actually use? What happens if two people request the same opening? Ask for a demonstration using a blocked time and an unavailable service.
If your shop uses an existing booking platform, get the integration details in writing. A booking link or a separate calendar is not the same as a direct integration.
Check the full cost
Ask about setup charges, included call minutes, overages, messaging charges, and cancellation terms. Estimate cost using your own call volume and average call length. Check whether time spent on spam, transfers, or test calls counts toward usage.
ChairChime’s pilot scope and pricing are discussed during the pilot conversation. This guide does not promise a fixed price or savings amount.
Give every provider the same trial calls
- Ask for your most common service and check the quoted price and duration.
- Request a time that is already blocked.
- Ask for a specific barber or an exception to a policy.
- Change your mind midway through an appointment request.
- Ask something the shop has not supplied an answer for.
- Check where callback requests and appointment results appear.

Agree on the fallback before forwarding your number
Find out how to stop or pause the service, what happens during an outage, and who reviews unresolved calls. Ask about access to call records, retention, and deletion. Avoid collecting details that your shop does not need.
